Responsibilities
- Manage and organize complex calendars, scheduling appointments, and coordinating meetings for team leads.
- Process and prepare invoices, expense reports, and purchase orders with high accuracy and attention to detail.
- Handle incoming inquiries via phone and email, routing them to the appropriate departments while maintaining a professional demeanor.
- Maintain and update digital and physical filing systems to ensure records are easily accessible and secure.
- Assist in the coordination of company events and prepare necessary presentation materials.
- Perform light data entry tasks and reconcile any discrepancies in financial records.
- Support the team with general office duties, including mail sorting and supply management.
Qualifications
- High school diploma or GED required; Associate’s degree or administrative certification is preferred.
- Proven experience (1+ years) as an administrative assistant or in a similar support role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent verbal and written communication skills with a polished, professional tone.
- Strong organizational skills with the ability to prioritize tasks in a fast-paced environment.
- Must be reliable and available for a consistent part-time schedule.
