Responsibilities
- Manage executive calendars and coordinate complex meeting schedules across multiple time zones
- Prepare confidential reports, presentations, and correspondence with meticulous attention to detail
- Oversee office operations including supply inventory, vendor relations, and facility maintenance
- Act as primary liaison for internal stakeholders and external partners
- Implement digital filing systems and ensure document security compliance
- Coordinate travel arrangements and expense reports for executive team
- Support onboarding process for temporary staff and new hires
Qualifications
- Minimum 3 years of administrative support experience in corporate or agency settings
- Proficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint) and Google Workspace
- Exceptional written and verbal communication skills with professional demeanor
- Ability to manage competing priorities with minimal supervision
- Experience with scheduling tools (Calendly, Doodle) and project management software
- Valid Florida driver's license and reliable transportation
- Spanish fluency preferred for diverse client interactions
