Responsibilities
- Manage multi-line phone systems and schedule appointments for 15+ department heads
- Prepare confidential correspondence, reports, and executive presentations using Microsoft Office Suite
- Coordinate complex meeting logistics including catering, A/V setup, and virtual conferencing
- Maintain digital filing systems with strict adherence to HIPAA compliance standards
- Process payroll and expense reports using QuickBooks Online
- Act as primary liaison between clinical staff and external partners
- Order office supplies and manage inventory for 50-person department
Qualifications
- Minimum 2 years administrative support experience in healthcare or corporate setting
- Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and Google Workspace
- Exceptional organizational skills with attention to detail in confidential environments
- Strong written and verbal communication abilities
- Ability to manage competing priorities in fast-paced clinical setting
- Basic accounting knowledge (payroll processing, expense reports)
- Valid California driver's license and reliable transportation
